PBX and CRM Integration in Dubai: Connect Your Phone System to Your CRM via API

PBX and CRM integration connects your office phone system to your CRM through an API, so the CRM shows who is calling before you answer, lets staff dial with one click, and saves every call (time, duration, outcome and recording) on the right customer record automatically. For sales and support teams in the UAE, it removes manual call notes and makes every customer conversation visible in one place.

SNTECH installs phone systems and builds CRMs, so we work on both sides of the connection. This guide explains how the integration works, what you need, and how to plan it without surprises.

Important: the phone system is installed at your UAE premises and uses lines from your own licensed operator (du or e&). SNTECH installs and integrates the system; we do not provide phone numbers, lines or calling services.

What PBX and CRM integration does for your team

  • Caller pop-up: when a call comes in, the CRM looks up the number and opens the customer record, so staff greet the caller by name and see their history.
  • Click-to-call: staff click a number in the CRM and their desk phone or app dials it. No typing, no wrong numbers.
  • Automatic call logging: every inbound, outbound and missed call is saved against the customer, with date, duration and the staff member who handled it.
  • Recordings on the record: where call recording is enabled, the recording link sits on the customer timeline for managers to review.
  • New-lead capture: calls from unknown numbers can create a new lead, so nothing is lost.
  • Reports that match reality: managers see calls per customer, per salesperson and per campaign, alongside deals and tickets.

How a PBX CRM integration works via API

An API (application programming interface) is a secure way for two systems to exchange information. In a phone-system integration, data flows in two directions:

  1. PBX to CRM (events): the phone system tells the CRM in real time that a call is ringing, answered or ended, with the caller’s number and the extension. The CRM uses this to show the pop-up and log the call.
  2. CRM to PBX (commands): the CRM asks the phone system to do something, such as start a call from extension 105 to a customer’s mobile.
  3. Lookups and history: the CRM or a small connector service queries call records and recordings and attaches them to the right customer.

In many projects a small connector service (middleware) sits between the two. It receives events from the PBX, matches numbers to customers, applies your rules and writes to the CRM. This keeps the integration stable when either system is upgraded.

3CX and Yeastar: integration options at a glance

The two platforms we integrate most often take different approaches. Available features depend on the version and licence or plan, so we confirm them for your system before quoting.

Custom CRM integration: when your CRM is not on the list

Many UAE businesses run an in-house system, an industry-specific CRM or a custom CRM. That is not a blocker. What matters is:

  • Does the CRM have an API? If yes, we connect the PBX events and commands to it, usually through a connector service.
  • Can it receive data another way? Some systems accept scheduled imports or webhooks. Less real-time, but still useful for call logs.
  • Is it time for a better CRM? If the current system cannot be connected at all, we can build a focused CRM with phone integration built in from day one.

How to plan a PBX and CRM integration: step by step

  1. List what you want to see. Pop-ups? Click-to-call? Logs only? Recordings? Start with the two or three things that save the most time.
  2. Check both systems. PBX platform, version and licence; CRM name, API access and user plan.
  3. Clean the phone numbers. Store numbers in one format, ideally international (+971 5x xxx xxxx). Mixed formats such as 05x, 9715x and +9715x are the most common reason we see pop-ups fail.
  4. Map users to extensions. Each CRM user is linked to their extension so calls are logged under the right person.
  5. Agree the rules. What happens with unknown numbers, internal calls, missed calls and calls to queues?
  6. Build and test in stages. Start with a pilot team, check results for a week, then roll out to everyone.

Field notes from UAE integrations

  • Number formats. UAE callers arrive as local mobile numbers, landlines with area codes and international numbers. We normalise them in the connector so 050, +97150 and 0097150 all match the same customer.
  • Shared lines and queues. When a call rings a whole sales queue, decide who the call is logged against: the agent who answered, not the first phone that rang.
  • Firewalls. Webhooks and API calls must pass through the office firewall. On FortiGate we allow only the specific servers and ports needed, rather than opening the PBX to the internet.
  • Recordings and access. Recordings are sensitive. Limit who can play them in the CRM and agree how long they are kept. Take advice on your own data-protection obligations; this article is not legal advice.

Security checklist for PBX API access

  • Create a dedicated API account with only the permissions the integration needs.
  • Allow API access only from known IP addresses or servers.
  • Use encrypted connections (HTTPS / secure WebSocket).
  • Rotate API secrets when staff or vendors change.
  • Keep PBX firmware and the connector service up to date.

Frequently asked questions

What is PBX and CRM integration?

A link between your phone system and your CRM that shows who is calling, enables click-to-call and logs every call against the right customer automatically.

Does my phone system need an API for CRM integration?

Usually yes. 3CX uses CRM integration templates and call journaling; Yeastar P-Series has an API with real-time call events. We check what your system and edition support.

Can you connect our own in-house or custom CRM?

Yes, if the CRM has an API or can receive data. If not, we can build a CRM with phone integration built in.

Is a PBX CRM integration secure?

Yes, when API access is limited, accounts have minimal permissions, connections are encrypted and recordings are restricted.

Does SNTECH provide the phone lines?

No. The system is installed at your premises and uses lines from your own licensed operator, such as du or e&.
