The 3CX web client: the feature everyone uses
The web client is 3CX in a browser tab. Staff log in and can make calls, answer, transfer, hold, check voicemail and see call history without installing anything. It also shows whether colleagues are available, on a call or away, so reception can see who is free before transferring.
Tips that help staff adopt it
- Give people a proper headset. Laptop speakers and microphones cause echo and complaints. A USB or Bluetooth headset fixes most audio issues.
- Set statuses properly. If people never change their status, calls ring to empty desks. Agree simple rules, such as “Away” at lunch.
- Keep desk phones where they make sense. Reception, the warehouse desk and the managing director often still prefer a physical phone. 3CX works with both at the same time.
The 3CX mobile app: your office extension in your pocket
The 3CX app for iPhone and Android lets staff answer office calls on their mobile and call customers showing the company number instead of their personal number. For sales teams who visit clients across Dubai, Abu Dhabi and Sharjah, this is often the feature that sells 3CX to the owner.
Field note: on some Android phones, battery-saving settings stop the app from ringing reliably. During handover we check notification and battery settings on each phone and make a test call while the screen is locked.
Ring groups, IVR and office hours
These features decide what happens when a customer calls your main number.
- IVR menu: “Press 1 for sales, 2 for accounts.” Many UAE businesses record the greeting in both English and Arabic.
- Ring groups: a group of extensions that ring together or in turn, for example all of sales.
- Office hours: set your working days and times so after-hours callers hear a closing message or reach voicemail.
- Holidays: add public holidays so the system does not ring an empty office on Eid.
Field note: plan a separate schedule for Ramadan working hours and remember to switch back afterwards. It is one of the most common “why is nobody answering?” calls we get after the holy month.
3CX call queues and reports for sales and support teams
A ring group rings phones; a call queue holds callers in line with music or messages until an agent is free, and shares calls between agents in an organised way. If you have a sales desk, a support line or a booking team, queues stop callers getting an engaged tone or ringing out.
3CX also offers reports on call volumes and missed calls, and a real-time wallboard that shows how many callers are waiting. The most useful report for most owners is simple: how many calls did we miss, and when? That answer often shows whether you need one more person at peak times.
3CX call recording: useful, but plan it
Call recording helps with training, quality checks and settling disputes about what was agreed on the phone. Before switching it on:
- Decide which extensions or queues to record, rather than recording everything by default.
- Plan storage on the server and how long to keep recordings, then set automatic clean-up.
- Decide who can listen: limit access to managers.

Voicemail to email and CRM integration

Field notes from 3CX installs in the UAE
- Firewall settings matter. Many offices have a FortiGate in front of 3CX. Its SIP ALG can cause one-way audio or dropped calls, so we review it during setup following Fortinet’s documentation.
- Office Wi-Fi. If staff use the app inside the office, weak Wi-Fi in meeting rooms or the warehouse shows up as choppy calls. Check coverage first.
- Train in short sessions. A 20-minute session per team on transfer, voicemail and status does more than a long manual.
